Shortlist for German craft shops that want one OFFICE for customers, quotes, scheduling, materials, Android site capture, and e-invoices on Hetzner Germany hosting. Poland· Groupware

Needs review

Shortlist Nozbe when a small remote or hybrid team wants a simple Polish SaaS for GTD-style projects, tasks, and comments—with German primary hosting and a public B2B DPA. Skip when you need self-hosting, published ISO/SOC attestation, enterprise portfolio PM, or a path free of US-group cloud/SaaS subprocessors; consider Nextcloud (self-host) or a chat-first peer such as Fleep instead.

DELKARO HANDWERK

  • Job-centric OFFICE for craft workflows

Customers, contacts, sites/assets, enquiries, tasks, documents, and the full order history stay on one job file so office staff can move from request to quote, preparation, execution, and billing without rebuilding context.

  • Quotes, calculation, and German e-invoices

Build quotes from measurements, catalogue positions, and labour/material shares; share a personal customer decision link; continue into progress and final invoices. Supported outputs include checked XRechnung or ZUGFeRD/Factur-X PDF packages when format validation is set up.

  • Crew planning with site time capture

Assign people and sites in day/week views, surface conflicts and travel buffers, record absences, and capture start/end/pause times on site for later office release. Time PDFs/CSVs are for further processing; the product does not create payroll.

  • Android field app with offline paths

Native Android app for site overview, times, photos, messages, and proofs, including local store-and-forward for supported offline changes. Browser OFFICE remains the hub; store-distributed iOS for that field app is not advertised on the functions page.

  • Materials from demand to stock movement

Track material demand on the job, prepare supplier orders, record partial/complete deliveries, and follow warehouse moves, take-out, and returns so site supply stays tied to the same order file.

  • Optional AI assists with human confirmation

Eleven OFFICE helpers can propose structured data from notes, photos, or messages. Suggestions require explicit human acceptance. Selected content may go to OpenAI with possible US processing; exclusive EU AI processing is not promised.

Nozbe

  • Task-based communication (projects → tasks → comments)

Work is organized as projects containing tasks; discussion, checklists, @mentions, reactions, attachments, and task links live on the task so context does not scatter across email or chat. Suited to teams that want asynchronous ownership without a heavy workflow engine.

  • Multiple workspaces for work and life

Create separate spaces for a company, department, or personal life under one account. Free plan starts with one free space; Premium adds capacity; Business is positioned for unlimited workspaces when you run several teams or businesses.

  • Email-to-task capture and project templates

Each user can forward mail to a personal Nozbe address to turn messages and attachments into tasks. Recurring workflows (onboarding, reports, orders) can be saved as project templates and re-instantiated instead of rebuilding checklists by hand.

  • Offline-capable multi-platform apps

Dedicated clients for Windows, Mac, iOS, and Android plus the web app at nozbe.app; About also lists Linux. Apps sync with servers in Germany and are marketed as usable offline for hybrid and mobile work.

  • Shared and joint projects across spaces

Invite-only projects (Premium) restrict visibility inside a space; joint projects let you collaborate with other Nozbe spaces (clients, subcontractors) without migrating everyone onto one workspace. Complements space-level multi-tenant style separation.

  • Optional AI project bootstrap and time tracking

Premium-oriented features include Create using AI (describe a project or import CSV to generate tasks), time tracking, and richer history/storage limits than Free. Confirm current plan gates on the official feature comparison before procurement.

Considerations & known limitations: DELKARO HANDWERK vs Nozbe
Considerations & known limitationsLogo: DELKARO HANDWERKDELKARO HANDWERKLogo: NozbeNozbe
Pilot-stage product and access model
Medium

Entry is application-based for a small pilot cohort. Functions may still have limits or defects; individual feature requests are not guaranteed.

No indicado
Optional AI can send data to OpenAI/US
Medium

When AI recognition or preparation is explicitly requested, selected media, text, and business context may be processed by OpenAI with possible US transfer. Exclusive EU AI processing is not promised.

No indicado
Mobile push via Google FCM / Apple APNs
Low

Optional push notifications use platform vendors that may process routing identifiers outside the EU. Product remains usable without push.

No indicado
No public ISO/SOC or independent audit
Medium

Buyers that require published ISO 27001, SOC 2, or third-party security audit PDFs will not find them on the reviewed pages.

No indicado
Single-person operating company
Medium

Imprint and About identify Daniel Sloman as the sole responsible operator. That aids accountability but concentrates continuity and support capacity risk.

No indicado
US-group cloud and SaaS subprocessorsNo indicado
Medium

Core tasks run on Hetzner DE, but encrypted backups/files use Amazon S3 and privacy lists Mailgun, Google, Facebook, Stripe/Verifone, and Cloudflare. EU HQ does not eliminate US-group provider exposure for procurement policies that ban those vendors.

No public ISO/SOC or independent audit reportNo indicado
Medium

Security practices are described by the vendor (encryption, backups, limited staff access, external tests) without published certificates. Enterprise security questionnaires may stall until documents are shared under NDA.

SaaS-only; no self-host optionNo indicado
Medium

Data and availability depend on Nozbe’s multi-tenant service. Air-gapped or customer-controlled deployment is not offered publicly.

Narrow feature surface vs enterprise PMNo indicado
Low

Deliberately simple projects/tasks/comments model may lack portfolio, advanced automation, or complex permission matrices expected in large PMO tools—confirm fit before migrating from Asana/Jira-class suites.

Encaje

DELKARO HANDWERK

Best fit when

  • Small German-speaking craft businesses that want one job file from enquiry to invoice
  • Teams that need weekly crew planning plus Android site time/photo/message capture
  • Buyers who require German e-invoice outputs (XRechnung / ZUGFeRD) from the same operational system
  • Firms willing to join a personally onboarded pilot and accept a product still being refined with users
  • Organisations that accept proprietary SaaS on Hetzner Germany and will contract an Art. 28 DPA

Poor fit when

  • Buyers that need immediate self-serve signup, public APIs, or self-hosting
  • Organisations that forbid any US subprocessor path even for optional AI or mobile push
  • Companies needing payroll generation, live banking, or finished DATEV accounting inside the product
  • Crews that require a store-distributed iOS field app as a hard prerequisite without confirming alternatives
  • Enterprises that require published ISO 27001 / SOC 2 evidence before any pilot

Consider instead when

  • When: You need general EU team tasks/projects rather than craft quoting, materials, and Baustelle workflows

    Consider: Nozbe or Stackfield

Stronger as collaboration/project tools than as Handwerk ERP substitutes.

  • When: You already standardise on a horizontal CRM or productivity suite and only need light job tracking

    Consider: Salesforce or Microsoft 365

Broader ecosystem and integrations; weaker native German craft invoicing and site materials flows.

  • When: You need EU-only processing including AI assists with no US model providers

Consider: A craft or ERP vendor that publishes an EU-only AI path

DELKARO discloses possible US processing for OpenAI-backed assists and does not promise exclusive EU AI.

Nozbe

Best fit when

  • Small businesses and service teams that want projects → tasks → comments instead of channel chat or heavy PM suites
  • Remote/hybrid groups that need coherent desktop and mobile clients with offline capture
  • Buyers who want a Polish legal entity, German primary hosting, and a downloadable Art. 28 DPA
  • People who separate work and personal life via multiple workspaces in one product
  • Teams that capture actionable email as tasks and reuse project templates for repeat client work

Poor fit when

  • Organizations that require self-hosted or fully air-gapped deployment
  • Procurement that mandates public ISO 27001 or SOC 2 reports before shortlisting
  • Enterprises needing portfolio resource management, complex automations, or deep Kanban/Gantt tooling
  • Buyers whose policy forbids US-group cloud providers even for EU-region backups, email, or analytics
  • Teams seeking a full Microsoft 365 / Google Workspace replacement (mail, docs, meetings) rather than a task system

Consider instead when

  • When: You must self-host collaboration data and control subprocessors yourself

    Consider: Nextcloud

Broader content collaboration hub; operational ownership shifts to your team.

  • When: You need Swiss-hosted classic groupware (mail, calendar, contacts) more than task PM

    Consider: Kolab Now

Different product shape; not a drop-in Nozbe substitute.

  • When: Chat-first team messaging with conversation tasks is enough and you prefer Estonia HQ

    Consider: Fleep

Messenger-centric; weaker as a full multi-workspace project system.

  • When: Your org is already standardized on Microsoft collaboration and only needs lightweight tasks

Consider: Microsoft Teams / Microsoft 365 Planner-style workflows

Lower integration friction; different jurisdiction and product philosophy.

Open questions for due diligence

DELKARO HANDWERK

  • Will the signed Art. 28 AVV and current subprocessor annex be provided before real customer data is loaded?
  • Which HANDWERK workflows are production-ready for this trade versus still experimental in the pilot?
  • Can AI features be disabled tenant-wide for buyers that forbid OpenAI/US transfers?
  • What is the supported path for iPhone-only crews given no App Store iOS field app on the functions page?
  • Are restore-test results, RPO/RTO, and TOMs available under NDA for due diligence?

Nozbe

  • Will the vendor provide a current subprocessor list with legal entities and transfer mechanisms (SCCs) for AWS, Mailgun, Google, and payment providers?
  • Are independent penetration-test or ISO/SOC materials available under NDA for enterprise procurement?
  • What is the exact production region set today for Ireland vs Germany/France relative to the DPA wording?
  • What retention, export formats, and support SLAs apply on Business vs Premium for regulated clients?
  • How is optional Nozbe AI implemented (model provider, data used for training, opt-out)?
